Terms and Conditions of Service
1. Reservations and Booking
All reservations must be made in advance and are subject to vehicle and chauffeur availability. A reservation is considered confirmed once the client receives written confirmation and a valid payment method is secured on file. Bergstrom Limousine Services reserves the right to decline any booking at its discretion.
2. Payments and Charges
All services require a valid credit card authorization. Charges may include, but are not limited to, base fare, gratuity, tolls, parking, wait time, extra stops, cleaning fees, and damages caused by passengers. By confirming the reservation, the client authorizes Bergstrom Limousine Services to process all applicable charges.
3. Wait Time and No-Show Policy
Airport arrivals include a complimentary grace period based on service type. After the grace period, wait time will be charged in increments according to the vehicle rate.
A reservation will be considered a no-show if the client cannot be reached, declines the ride upon chauffeur arrival, or fails to appear at the designated pickup location. No-shows are charged at 100% of the reservation amount.
4. Cancellations and Refunds
4.1 Standard Cancellations
You may cancel your booking up to 24 hours before the scheduled pick-up time without penalty. Cancellations made less than 24 hours before the scheduled pick-up time will incur a cancellation fee of 50% of the total booking cost. Cancellations made within six (6) hours of the scheduled pick-up time will be charged 100% of the total reservation amount.
4.2 Major Events and High-Demand Periods
For high-demand events, including but not limited to Formula One, SXSW, Austin City Limits Festival, major conventions, sporting events, and other peak citywide periods, reservations must be confirmed no later than fourteen (14) days prior to the scheduled service date. At that time, the reservation becomes fully non-refundable and will be charged at 100% of the total booking cost. No refunds, credits, or rescheduling will be permitted within this period.
4.3 Outside Austin Area Reservations
For services originating outside the Austin metropolitan area, reservations must be confirmed at least twenty-four (24) hours prior to the scheduled service time. Once confirmed within this 24-hour window, the booking becomes fully non-refundable and will be charged at 100% of the total reservation amount.
4.4 Refund Processing
Where applicable, approved refunds will be processed to the original payment method within a reasonable processing period determined by the payment provider. Administrative fees, service fees, and third-party expenses may be non-refundable.
4.5 Company Right to Cancel
In rare circumstances beyond company control, including severe weather, safety concerns, road closures, vehicle mechanical issues, or force majeure events, Bergstrom Limousine Services reserves the right to substitute a comparable vehicle or cancel the service. If cancellation occurs and no substitute is available, a full refund will be issued.
5. Client Responsibilities
Passengers are responsible for respectful conduct. Smoking, illegal substances, or unsafe behavior are strictly prohibited in all vehicles. Any damage to the vehicle interior or exterior will be charged to the client on file. Cleaning or sanitation fees may apply if excessive mess occurs.
6. Vehicle Substitution
Bergstrom Limousine Services reserves the right to substitute a vehicle of equal or greater value when necessary due to maintenance, availability, or operational needs.
7. Delays Beyond Control
The company is not liable for delays caused by traffic, weather, road closures, airport congestion, or events outside reasonable operational control. Chauffeurs will make reasonable efforts to adjust routes and timing when possible.
8. Limitation of Liability
Bergstrom Limousine Services shall not be liable for indirect, incidental, or consequential damages, including missed flights, events, or appointments resulting from delays beyond company control.
Acceptance of Terms
By confirming a reservation, the client acknowledges that they have read, understood, and agreed to these Terms and Conditions in full.
